How GarageOne fits around the phone line and the way the garage already works.

What is GarageOne?

GarageOne is an AI receptionist and booking operations layer for UK garages. It answers calls, captures customer and vehicle details, helps with MOT and service bookings, sends SMS follow-up, and gives the team a clear record to work from.

Is GarageOne a full garage management system?

It can grow into that role for some garages, but it is not as sophisticated as a mature full garage management system yet. In v1, GarageOne is strongest at the front-desk and workflow jobs around calls, bookings, updates, reminders, quote replies, invoices, and handoff.

Can we keep our current phone number?

Yes. The usual setup is to route calls from your existing number to GarageOne, or use a GarageOne-managed number where that is the better fit. The right option depends on how your phone line is currently configured.

Can we use GarageOne only for missed calls, overflow, or after-hours calls?

Yes. GarageOne can sit behind your normal phone setup so it helps when the line is busy, the team misses a call, or the garage is closed. It can also be used more broadly once the workflow is proven.

How much setup is needed before going live?

A useful setup needs the garage name, opening times, service menu, booking rules, ramp capacity, SMS wording, handoff rules, and the phone routing choice. That setup is what keeps the AI practical instead of generic.

Calls and bookings

What the AI can capture, validate, and send back to the workshop.

Does GarageOne answer calls outside opening hours?

Yes, if the garage config allows it. After-hours calls can be answered, captured, and turned into booking requests or callback tasks for the team to review.

Can it handle more than one caller at the same time?

Yes. AI call answering can deal with multiple callers at once, which is useful when the workshop is busy, the front desk is already on a call, or Monday morning call volume spikes.

What details does it collect for MOTs and services?

For MOT and service enquiries, GarageOne is set up to collect the customer name, phone number, vehicle registration, service type, preferred time, and the confirmed slot. Service mileage can also be captured when the garage needs it.

Does it check availability before booking?

Yes. GarageOne should validate booking requests against opening hours, service duration, booking buffers, garage timezone, and configured ramp capacity before a job becomes a booking.

Can it send SMS confirmations and reminders?

Yes. GarageOne can send short SMS confirmations, reminders, customer updates, and quote follow-up messages, with those messages logged against the relevant customer, vehicle, or job.

Workshop control from your phone

How the team can use Telegram to view jobs, update progress, and keep the desk in sync.

Can we control the workshop workflow from a phone?

Yes. Once Telegram is connected to the garage, staff can view the day's jobs and update workshop progress from a phone without returning to the dashboard. Those updates stay connected to the same GarageOne booking and vehicle record.

What can the team update through Telegram?

Staff can mark a vehicle arrived, begin work, flag that it is waiting for parts or approval, mark it ready, and mark it collected. They can also check the next job, look up a vehicle status, add a job note, and view open quote approvals or callbacks.

How do the Telegram commands work?

The connected chat has a simple command menu. For example, /today shows the workshop plan, /begin followed by a registration marks work in progress, and /ready followed by a registration marks the vehicle ready.

Can we use a Telegram group or a direct chat?

Yes. A garage can connect a shared workshop group, a private direct chat, or more than one approved chat. Each chat is linked separately to the correct garage before it can view or change workshop information.

Can Telegram send updates to customers?

Yes, with a confirmation step. Marking a vehicle ready can prompt staff to send the customer a ready-for-collection SMS, and the message is only sent after somebody confirms it. Repeated status commands do not apply the same update twice.

How calls, SMS, quote replies, and workshop updates stay tied together.

Can GarageOne handle quote approval replies by SMS?

Yes. When a quote has been sent properly, clear customer replies such as yes or approve can be treated as approval, and replies such as no or decline can be treated as rejection. Unclear replies should be escalated for review.

Does it work alongside our existing tools?

Yes. GarageOne is intended to sit around your phone, SMS, booking, and daily admin flow. It gives the team structured work to review without forcing the garage to replace every tool at once.

How does GarageOne help the workshop team?

The workshop can see what was booked, what needs a callback, what has been marked ready, and what customer updates have been sent. Telegram job updates can also help staff update work from a phone.

How do we know whether it is saving time?

The dashboard shows captured calls, bookings, callback work, quote responses, failed messages, and follow-up activity. That gives the garage a practical way to see what GarageOne handled and what still needs attention.

Control and safety

Where GarageOne helps, and where it deliberately hands back to people.

Can the AI diagnose faults or say whether a vehicle is safe to drive?

No. GarageOne can capture symptoms and book a diagnostic or callback, but it must not diagnose mechanical faults, promise a vehicle is safe, or give MOT guarantees. Those decisions stay with the garage.

What happens when a caller asks for a human?

The request is escalated. GarageOne captures the caller details and the reason for the handoff so the team can call back or take over with context.

What happens if the AI is unsure?

Unclear, complex, angry, safety-critical, warranty, refund, complaint, accident, legal, or insurance-related calls are treated as handoff cases. The system should not guess when human judgement is needed.

Can staff review what happened on a call?

Yes. GarageOne is designed to keep a useful call record, including the captured details, summary, booking result, callback need, and any escalation notes.
